MRE Outreach
One command center, four programs
Richard: website administrator
See what is running, what needs attention, and what is still being built. Every live action remains inside its own program.
Shared protectionOne contact history and do-not-contact policy
The future email programs will check one another so the same person is not contacted too often.
Human controlPreview first, publish second
Email sends and consequential Google changes will show the exact action before an authorized person approves it.
AccountabilityA permanent before-and-after record
Every future program change will record who made it, why, what changed, and whether the provider accepted it.

What came back
Replies
Every reply, sorted so the interested ones never get lost. Star anything worth chasing, and re-file a reply if the auto-sort got it wrong.
What's working
Performance
Which subject lines and messages pull the most replies. The leader is the wording to keep; the weakest is the one to swap out on the Templates page. Success is measured by replies, since open tracking is off to protect your domains.
Domain & email health
Every sending mailbox, grouped by domain. The health score is Instantly's read on how well warm-up mail is landing (100% is good, even for a brand-new domain), not how finished the warm-up is. The "warming Nd" tag shows how long a domain has been warming; give a newly added one two to three weeks before leaning on it.

Templates
Guardrail: Robert's list is a private tip sheet. Never name a specific property or address in an email. Every template must include your mailing address and a plain opt-out line to stay legal.
You can edit the wording below and send it to Richard for approval. Nothing goes out until he approves it.
How the rotation works. These are the exact emails going out through Instantly. Step 1 has four subject lines (A, B, C, D). Instantly spreads them evenly across your agents, then leans harder on whichever one gets opened the most, so no single subject wears out. All four use the same message body. The follow-ups keep Step 1's subject line, so they land in the same email thread instead of starting a new one.
Saving rewrites the live campaign wording in Instantly, so your edits go out on the next sends.

Integrations
Instantly (sending engine)Connects with the backend
Gmail (reads Robert's list, sends your summary and backups)Connects with the backend
Hunter (finds each agent's verified email, tried first)Connects with the backend
Serper (Google search fallback when Hunter comes up empty)Connects with the backend
Instantly does the heavy lifting behind the scenes: warming up inboxes, spacing out sends, handling bounces. Hunter and Serper work together to turn each agent's name into a verified email address, Hunter first and Serper as the fallback, before anyone is loaded for sending. This site just shows you the parts that matter, in plain language, so you do not have to live inside Instantly.

SMS pilot (inactive)
Admin only · no-go
Existing cold leads are not eligible for texting.A phone number on a lead list, website, business card, or email record is not SMS consent. This pilot shows only people with separate, provable permission to receive texts from Mold Removal Express.
Sending lockChecking every required gate
Texting stays locked until legal approval, carrier registration, an SMS provider, and the final enable switch are all ready.
Locked
There is no bulk send, phone import, or lead-list upload here. Every draft belongs to one consented person and requires a separate approval, followed by a separate send confirmation.
Consented contacts only
Every person below has a consent record and may still be permanently suppressed at any time.
Message history
Each row is one exact message for one exact recipient.
Backup
Backups are readyA full copy of everything, emailed to you on your schedule.
Your permanent operational-day audits and append-only event chain
Passwords and API keys are never included in a backup. If your computer ever fails, the copy in your email inbox lets us rebuild everything.
Do-not-contact
Anyone on this list is never emailed again, across every batch. Replies asking to stop and hard bounces land here automatically once the backend sync runs.
Bounced · needs attention
Emails that bounced. Press Suppress to block the address so it is never emailed again.
Unsubscribed
People who opted out. They are blocked automatically and never emailed again. Kept here so you can track how many and who.
Who is on the site right now, and how much each of you actually uses it day to day. Below that, the plain event log (sends, template changes, backups).
Operational-day audit
See the separate planned, filtered, verified, staged, activated, and actually-sent totals for today. The detailed download also includes recorded contacts, replies, bounces, STOP actions, warnings, and reconciliation notes.
This will be a separate, timely outreach program for qualified contractors connected to a relevant Colorado home project. It is not connected to Instantly and cannot send.
🔒
Nothing in this section can affect Agent Emails.A separate campaign, contact model, schedule, and set of safety proofs will be required before activation.
1Identify a job signal
Bring in an authoritative project source and record why the job is relevant to mold work.
2Match and verify
Find the correct contractor, verify the business and email, and reject uncertain matches.
3Check shared protections
Block do-not-contact records, recent outreach, duplicates, and anyone already in another live sequence.
4Review and approve
Show the exact person, job basis, message, capacity, and campaign state before a human sends.
Needed before build
Source and audience decisions
Authoritative source for Colorado jobs
The eight contractor groups and priority order
How recent and how close a job must be
Evidence required to connect a contractor to a job
Safety design
Independent operating controls
Separate Instantly campaign and inbox assignments
Separate staged batch, send lock, and capacity proof
Shared do-not-contact and cross-program frequency checks
Permanent record of the job signal and every send decision
Next milestoneDefine the job source and qualification rules
Once those are approved, the data model and read-only candidate preview can be built without enabling sending.

Contractor Emails
Build relationships on a safe recurring cadence
Setup only, sending locked
This will be the recurring outreach program for qualified Colorado contractors, normally once every three months and only more often when capacity, engagement, and deliverability support it.
🔒
No contractor list has been loaded. There is no contractor campaign, schedule, template, or sending connection behind this screen yet.
Recommended starting cadence
Every 3 months
Start conservatively. Consider every two months only after reply quality, complaints, bounces, and inbox health demonstrate that the audience welcomes the contact.
Job-email priorityIf a contractor receives a relevant job email, postpone that person's next recurring email.
The audience record
One contractor, one history
Company, trade group, service area, and verified contacts
Every job email and recurring email in one timeline
Replies, interest, referrals, bounces, and stop requests
Next eligible contact date across both contractor programs
AudienceNot importedNeeds source and qualification rules
CampaignNot createdMust remain separate from Agent Emails
TemplatesNot approvedDraft, review, and compliance checks required
SendingLockedNo live action is available
Next milestoneApprove the contractor groups, source, and quarterly message strategy
The first implementation should produce a read-only audience count and overlap report before any campaign is connected.
